This Privacy Policy explains how FlowBack AI LLC (“we”, “us”) collects, uses and protects personal information when you visit flowbackai.com or work with us.
01. Information we collect
- Information you give us. Your name, email, business name and answers when you submit a form, book a call, request our checklist or become a client.
- Billing information. Processed by Stripe. We never store full card details.
- Session recordings. Workshops and some sessions may be recorded for you as a deliverable. Attendees are told before recording starts, and you may ask us not to record.
- Technical data. Our hosting provider receives basic data such as IP address, browser and pages visited. We use Cloudflare Web Analytics, which is cookie-free and does not track individuals across sites.
- Client data. Business and customer data you provide so we can deliver our services (see section 05).
02. Cookies
We do not use advertising or tracking cookies, and our site sets no cookies of its own. Cloudflare sets a security cookie (__cf_bm) to filter out bots. The page where you book a call embeds Calendly, which sets its own functional cookies under Calendly’s privacy policy. We also store one setting in your browser so our checklist pop-up doesn’t reappear after you request it; it stays on your device.
03. How we use information
To respond to you, deliver and bill for our services, send service-related emails and anything you requested (such as our checklist), improve our site and services, and meet legal obligations. Any marketing email includes an unsubscribe link. We do not sell or rent personal information, and we do not use it to train AI models.
04. Who we share it with
Only the service providers that help us run the business: Stripe (payments), Calendly (scheduling), Zoom or Google Meet (calls and recordings), our hosting and email providers, and the AI model and automation providers, such as Anthropic, that run the systems we build for clients. We may also disclose information when required by law or to protect our rights.
05. Client data & confidentiality
Client business and customer data is confidential and used only to deliver our services, as set out in your agreement. Recordings are shared only with you, never used for marketing, and deleted on request. We may name you as a client and describe non-confidential results, and you can opt out in writing at any time. We never publish internal screenshots, customer information or other confidential material without your written approval. If a security incident affects client data we process, we notify you within 72 hours of confirming it.
06. Retention
Inquiry information is kept for up to 24 months unless you ask us to delete it sooner. When an engagement ends, we return your business data within 15 days and delete our copies on request, apart from routine backups until they expire. Billing and contract records are kept for seven years for tax and legal purposes.
07. Security
Information is encrypted in transit and at rest, access is limited to people who need it, and multi-factor authentication is used where supported. No system is completely secure, but we act quickly on any issue.
08. Your rights
You can ask us to show you, correct or delete the information we hold about you, or to stop sending marketing email. Email carter@flowbackai.com with the subject “Privacy request” and we will respond within 30 days. Residents of California, the EU or the UK may have additional rights, which we will honor.
09. Children
Our site and services are not directed at anyone under 18, and we do not knowingly collect information from anyone under 18.
10. International visitors
We are based in Tampa, Florida. If you visit from outside the United States, your information is processed in the United States.
11. Changes & contact
We may update this policy from time to time; the “Last updated” date above will change, and active clients will be notified of material changes by email. Questions: carter@flowbackai.com.
